Shipping Food to Europe by Air: Documents, Packing and Handover Checklist

A quotation request for food air freight to Europe should not say only “snacks” or “food”. List the Chinese and English product names, ingredients, form, unit size, packaging, shelf-life details, carton count, weight, dimensions and destination postcode by SKU, and state any temperature requirement. The real cargo, destination requirements and current channel review determine acceptance and required documents.
Describe the food accurately before assessing a channel
Biscuits, confectionery, tea, seasonings, drink powders and canned products are all food, but their ingredients, moisture, physical form, containers and storage needs differ. A shipping assessment needs accurate Chinese and English product names, main ingredients, intended use, unit net content and packaging material so that the description can be checked against the goods.
For a shipment with several SKUs, list the brand, size, quantity, ingredient-label photo and finished-product photo for each item. Clearly identify liquids, pastes, powders, glass containers, fragile packaging or strong odours. If a product needs refrigeration, freezing or a defined temperature range, disclose it before selecting a service; ordinary air freight must not be assumed to provide temperature control.
A logistics channel review does not grant permission to import, sell or label a product. The shipper and consignee should check destination requirements for the real commercial use and ensure that declarations, labels, documents and goods are consistent. Prepare these ten items in one quotation request
Use one sheet with a reference number for each SKU, and match photo file names to those references. Mark carton data as estimated before final packing, then weigh and measure every carton and issue an updated version. Provide both the European destination country and postcode because destination and final-mile address conditions affect the assessment.
Useful quotation information is verifiable, not merely extensive. Start with clear, true and version-consistent data, then provide any additional documents identified by the destination and current channel review. Do not reuse another product’s ingredient list, packing photos or an old packing list, and do not omit attributes that may affect acceptance.

Focus packing on sealing, compression protection and separation
Ambient food still needs protection suited to the strength of its retail packaging. Prevent bags and boxes from moving inside the carton, separate bottles and cans, and fill voids. Liquids, sauces or packages that may leak need stronger closure, individual leak containment and absorbent protection. Measures should match the container material, unit weight and stacking conditions.
Outer cartons should withstand normal handling and stacking, while carton numbers, SKU quantities and the packing list should agree. For glass, ceramic or other fragile containers, test the actual packing under normal handling conditions before shipment and retain photos before and after sealing. Bulging, leaking, loose, damaged or damp packs should be replaced or repacked before handover.
For temperature-sensitive products, state the permitted range, acceptable duration and existing insulation plan, then confirm whether the channel provides the required conditions. Air transport can still include consolidation, waiting, handling and final-mile delivery. A flight for the main leg does not mean that the entire journey is temperature controlled.
Compare Europe air freight across four dimensions
First, confirm whether the current channel can review the cargo and what documents it needs. Second, compare actual weight, volumetric-weight rules and the complete cost scope. Third, review visible milestones from warehouse handover through departure, destination handling and final delivery. Fourth, agree how missing documents, address issues, packing damage or delays will be reported. Use the same final shipment data for every option.
Indicative transit time is not a guaranteed arrival date. Flight arrangements, peak-season capacity, cargo review, destination handling, customs and final-mile delivery can all affect progress. When stock is intended for a listing, campaign or replenishment, work backwards from the latest usable date and allow a business-appropriate buffer for document checks, repacking and journey variation.
