Changed Cartons, Added Cargo or a New Address After a UK Air-Freight Quote? Resubmission Checklist

Classify the change instead of patching an old quotation through scattered messages

Post-quotation changes normally fall into four groups: cargo changes such as added or replaced SKUs, quantities or batches; packing changes such as new cartons, consolidation, splitting, reinforcement or palletisation; destination changes such as postcode, full address, address type or receiving conditions; and planning changes such as the handover date, delivery window or transport option. Any group can invalidate the assumptions behind the original quotation.

Do not describe an added SKU as one more carton of general cargo. Resubmit its accurate Chinese and English name, use, material or composition, form, unit specification, quantity and clear photos, disclosing batteries, liquids, powders, magnetism, wood, fragility and other attributes. Food, cosmetics and supplements need product-specific label, ingredient or composition, packing and batch data; the result for the original cargo cannot simply be reused.

Save the quotation sheet as a new version, identify every change and its effective time, and retire the old file. Messages can alert the team but should not be the sole record. Cargo, packing list, carton numbers, measurements, address and handover instructions must agree in one version so the warehouse, shipment owner and channel do not act on different information.

Resubmit one complete dataset, not only the changed line

The new version should retain all information that remains valid rather than sending only a photo of the added product or a new postcode. Reviewers can then see the cargo attributes, quantity, packing, measurements and destination together, decide whether the original channel remains suitable, identify missing data and avoid carrying an old address or measurements into a new quotation.

If packing and quantities are not final, estimates may support an initial comparison when clearly labelled with their assumptions. After sealing, reinforcement or palletisation, weigh every carton or pallet and measure its outermost points, including bulges, corner protection and the pallet, then replace the estimates with final data.

Recheck charging and acceptance after repacking, consolidation or added cargo

Changing, combining or splitting cartons and adding lining changes the piece count, actual weight, outer dimensions and protection, and may change the comparison between actual and volumetric weight. Confirm the volumetric calculation, rounding, minimum charge and warehouse remeasurement rules for this shipment. Do not multiply a new weight by an old per-kilogram figure or treat a generic online formula as the final charge.

Added or replaced SKUs can change the classification of the full shipment. A plan assessed for ordinary cargo cannot automatically remain valid after adding liquids, powders, batteries, magnetism, fragile items or other cargo needing particular attention. Acceptance, documents and packing must be reviewed against the revised whole shipment and current channel.

Packing changes should protect the product before reducing volume. Match cartons to their contents, use appropriate cushioning and restraint, and avoid visible bulges after sealing. Fragile, leak-prone or deformable goods need protection suited to their real construction. If the warehouse measurement differs, apply the agreed handling rule rather than under-declaring dimensions to preserve an old price.

A new UK address or date requires another delivery and milestone review

For a UK address change, submit the city, postcode, full street address, address type, contact, phone and receiving hours together. Homes, commercial premises, ordinary warehouses and fulfilment centres may differ in appointments, vehicle access, pallet acceptance, loading bays and forklift availability. Even within one city, a new postcode or site condition may affect the final-delivery plan and charge boundaries.

For a fulfilment or third-party warehouse, recheck the booking portal, inbound reference, labels, earliest and latest receiving times, and loose-carton or pallet requirements. A map pin may assist checking but does not replace the accurate written address required for waybills, appointments and signature. Never reuse another shipment's warehouse data without confirmation from the real consignee.

If the handover date moves, reconfirm the sequence of document review, warehouse receipt, departure, destination handling, appointment and final delivery. Indicative transit time is a milestone assessment for the current plan, and schedules, weather, additional documents and receiving arrangements may affect it; it is not a guaranteed arrival date. Allow review and exception time where a sales or inbound window matters.

Use version control and two reviews before handover

First, warehouse or product staff compare the actual SKUs, quantities, packing, carton numbers, photos and final measurements. Second, the shipment owner checks the latest quotation and handover instructions against the UK consignee data, service scope, charge boundaries and planned milestones. Record the date and reviewer at both stages, retaining sealing, weighing, measurement and handover photos.

If a change is discovered after handover, stop using the old data, record the actual difference and current cargo status, and ask the logistics provider to assess possible handling. Do not promise address changes, withdrawal, acceleration or charges independently.
